We collect your personal data in the performance of a contract or to provide a service and to ensure that our services are completed and can be sent out to your preferred address

We have legal obligations under money laundering regulations. To satisfy these legal obligations, in certain circumstances we may need to share your personal data with Smartcredit Limited who are a credit reference agency and provide us with financial background checks prior to commencement of our services.

Cutter & Co Ltd does use third-parties to provide the below services and business functions; however, all processors acting on our behalf only process your data in accordance with instructions from us and comply fully with this privacy notice, the data protection laws and any other appropriate confidentiality and security measures.

Receipt Bank Limited

We occasionally use Receipt Bank Ltd to process some of our purchase invoice analysis they act in the capacity of a processor on our behalf. The only information we provide them with is the information contained on the receipts themselves.

Hosted Accountants

We use Hosted Accountants (a member of the Indigo Group) to provide us with a hosted desktop and store our data on their data centres. Hosted Accountants do not process any data but their support teams will have log-on access to the personal information stored in these data centres.

Cutter & Co Ltd takes your privacy seriously and takes every reasonable measure and precaution to protect and secure your personal data. We work hard to protect you and your information from unauthorised access, alteration, disclosure or destruction and have several layers of security measures in place, including: –

Consequences of Not Providing Your Data

You are not obligated to provide your personal information to Cutter & Co Ltd, however, as this information is required for us to provide you with our services, we will not be able to offer some/all our services without it.

Legitimate Interests

As noted in the ‘How We Use Your Personal Data’ section of this notice, we occasionally process your personal information under the legitimate interests’ legal basis. Where this is the case, we have carried out a thorough Legitimate Interests’ Assessment (LIA) to ensure that we have weighed your interests and any risk posed to you against our own interests; ensuring that they are proportionate and appropriate.

We use the legitimate interests’ legal basis for passing our clients personal contact information to third parties and have identified that our interests are financial advice and planning and fee protection insurance for our clients.

How Long We Keep Your Data

Cutter & Co Ltd only ever retains personal information for as long as is necessary and we have strict review and retention policies in place to meet these obligations.

We will hold this data until such time as our services are no longer required in order to allow us to carry out the requested services.

We are then required under UK tax law to keep your basic personal data (name, address, contact details) for a minimum of 6 years after which time it will be destroyed.

In addition to your basic personal data we will continue to hold any electronic financial data, accounts, working papers, payroll records and correspondence for the same period. We use the legitimate interests’ legal basis as this data would allow us to respond to any enquiry into the records by HMRC or any third party.

Paper files will be returned to you on disengagement.

Where you have consented to us using your details for direct marketing, we will keep such data until you notify us otherwise and/or withdraw your consent.
